How to manage appointments for multiple stylists

Keep staff hours, service assignments, realistic appointment lengths and reschedules organised without losing the client's visit history.

Set hours for each person

Start with each stylist's actual working hours, not just the salon's opening times. Include breaks and blocked periods. Reception should be able to distinguish an unbooked hour from an hour when the stylist is not available.

Review the next week together when hours change. A diary that looks tidy but does not reflect who is working leads to avoidable calls and last-minute moves.

Assign services before offering times

List who performs each service. If only two stylists take colour appointments, those are the people clients should be offered for colour online. Update assignments when your service menu or team changes.

Use sensible service durations and cleanup time. A 30-minute online start interval does not make every service 30 minutes long; it changes the possible starts shown to clients.

Keep client choice visible

Distinguish a request for a named stylist from First available. If a regular wants Sarah, do not quietly move the booking to another stylist just because a gap is open. Contact the client when a change needs their agreement.

Move the booking, not the payment history

Use the existing appointment's Reschedule option rather than cancelling it and creating a disconnected replacement. In Polissh this keeps the appointment and its payment history attached. Check the new staff member's service eligibility and time before saving.

Invite each team member to their own sign-in and choose an appropriate role. Sharing one account makes it harder to see who changed a booking and can expose information beyond what a stylist needs.

Put the checklist to work in your salon.
